Terms and Conditions and Refund Policy
Kawagoe Tours
By booking a guided tour through kawagoetours.com (or kawagoeguide.com), you (the “Guest”) agree to be bound by the following Terms and Conditions. Please read them carefully before making a booking.
1. Booking and Agreement
- All bookings are made directly with Kawagoe Tours.
- The Guest confirms they have read, understood, and agree to these Terms and Conditions at the time of booking.
- The tour is a private guided experience in English conducted by the guide.
2. What is Included in the Tour Price
- Expert local guide and guidance along Kawagoe’s sightseeing and historical sites.
- Children under 10 years old join for free (no payment required).
3. What is Not Included in the Tour PriceGuests are responsible for paying the following personally:
- Food, drinks, and any shopping or souvenirs during the tour
- Admission fees (e.g., the Baking Rice Cracker Experience costs ¥750 per person for 3 rice crackers)
- Transportation fees (such as bus, taxi)
Pickup at and Returning to the train station is not included in the tour.
If you don’t feel comfortable getting to the tour’s start point and/or back to the station unaccompanied, select these options from Extras during the booking process.
Additional note about meals/coffee:
If you would like to share a meal or coffee with the guide during or after the tour, guests are responsible for covering all related expenses, including the guide’s meal or drink.
4. Cancellation and Refund Policy
- You may cancel your booking from My Booking page at any time before the scheduled tour’s start.
- Full refund will be issued only if cancellation is made 12 hours or more in advance of the tour start time.
- No refund will be provided for cancellations made less than 12 hours before the tour start time, or in no-show cases(failure to appear at the meeting point at the agreed time).
- Rescheduling requests are accepted up to 12 hours before the tour start time, subject to availability.
- Refunds (when applicable) will be processed back to the original payment method (Stripe or PayPal) and can take up to 10 business days to appear in your account, depending on your bank or card issuer.
- Kawagoe Tours reserves the right to cancel a tour due to unforeseen circumstances (e.g., severe weather, public safety issues, guide illness). In such cases, a full refund will be issued or an alternative date/time will be offered at no extra cost.
5. Changes to the Tour
- The published itinerary serves as a flexible guideline. The tour can be adjusted based on your interests, pace, or any special requests — as long as it fits within the booked time and the guide’s abilities.
- The guide will make reasonable efforts to accommodate reasonable modifications.
6. Liability and Safety
- The Guest participates at their own risk. Kawagoe Tours and the guide are not liable for any loss, injury, damage, or inconvenience arising from the tour, except where caused by gross negligence or willful misconduct.
- Guests must follow the guide’s safety instructions at all times.
- The Guest is responsible for their own health and fitness to participate in a walking tour.
7. Privacy
- Personal information collected during booking is used only for tour administration, payment processing, and communication, and will be handled in accordance with applicable privacy laws (including Japan’s APPI).
8. Governing Law
These Terms and Conditions are governed by the laws of Japan. Any disputes shall be resolved in the courts of Saitama Prefecture. By completing your booking, you confirm that you have read, understood, and agree to these Terms and Conditions and Refund Policy. If you have any questions, please contact us before booking.
